The Payroll Manager plays a critical role in ensuring the accurate and timely processing of payroll across all employees within the group. With a focus on compliance and operational excellence, the role serves as a key liaison between Finance, HR, and Operations, ensuring that all payroll-related processes adhere to UK regulations and company policies. This position directly impacts employee satisfaction and financial accuracy, supporting the overall success of the business by guaranteeing that employees are paid correctly and on time, every time. The Payroll Manager will also contribute to the continuous improvement of payroll systems, processes, and reporting procedures to keep up with evolving business needs and legislative changes.

Key Responsibilities

  • Oversee the end-to-end payroll process for all employees (full-time, part-time, zero-hours, and casual workers) across 45 sites, ensuring payroll is processed accurately and on time.
  • Ensure compliance with payroll legislation, including PAYE, National Insurance (NI), statutory payments (SSP, SMP, etc.), and Real Time Information (RTI) submissions to HMRC.
  • Administer and reconcile tips, service charges, and tronc schemes in line with HMRC and company guidelines.
  • Liaise with HR and department managers to ensure accuracy of rota systems and staff data (e.g., starters, leavers, absences), maintaining up-to-date and accurate records of all employee movements.
  • Oversee statutory reporting, including P45s, P60s, P11Ds, and Gender Pay Gap reports, ensuring all reports are filed correctly and on time.
  • Manage pension contributions and auto-enrolment compliance under The Pensions Regulator, ensuring that all pension-related processes are handled in compliance with relevant regulations.
  • Maintain payroll systems and software (Fourth Hospitality), ensuring data integrity, timely updates, and system optimisation to meet business needs.
  • Respond to payroll-related queries from employees and management in a professional and timely manner, resolving issues promptly and providing clarity where needed.
  • Coordinate with finance to support month-end reporting, payroll journals, and reconciliations of all payroll accounts to ensure financial accuracy and integrity.
  • Ensure GDPR compliance in handling personal and payroll-related data, protecting employee information in line with regulatory standards.
  • Regularly review and optimise payroll processes to ensure efficiency, identifying areas for improvement and implementing solutions to streamline operations.
  • Monitor and ensure adherence to budgetary payroll constraints while managing the overall payroll process.
  • Collaborate with senior management and HR to provide regular updates on payroll status, ensuring transparency and smooth communication across departments.
  • Keep up to date with changes in payroll legislation, best practices, and industry trends, ensuring the business remains compliant and competitive in its payroll practices.


Required Experience

  • Proven experience in payroll management within the UK, ideally in the hospitality or leisure sector.
  • Strong knowledge of employment law, HMRC regulations, and payroll compliance.
  • Familiarity with hospitality workforce structures, such as tronc schemes, casual staffing, and shift-based pay.
  • Proficiency in payroll software (Fourth Hospitality, Wagestream, Moorepay, or similar).
  • Excellent attention to detail, strong organisational skills, and the ability to meet strict deadlines.
  • Strong communication skills with the ability to effectively liaise across departments
